Business Stamp Layout Guide for Effective Branding UK

A useful business stamp layout starts with the mark you need to print, the space available and the material you will stamp. Choose the impression size and shape around your logo and wording, then check the design in the personaliser. A round layout is an option, rather than a standard every business must use.

Business stamp layout checklist

  • Define one main purpose: logo branding, an address, a repeated message or a document workflow.
  • Choose the size of the stamped impression.
  • Keep the important wording readable and remove unnecessary detail.
  • Check the personaliser visual; request a separate manual proof if needed.

1. Decide what the stamp needs to print

List only the details needed for the task. A packaging logo may need just the logo; a return-address stamp may need the sender’s address; a workflow stamp may need a short status message. Measure the available area on the paper or card before selecting a model.

2. Choose the impression size and shape

Layout Impression size When to consider it
25 × 25mm square logo stamp 25 × 25mm A compact square logo or short design.
42mm round Trodat 4642 logo stamp 42mm diameter A circular logo or badge.
58 × 22mm Imprint 13 logo stamp 58 × 22mm A wider logo or horizontal layout.

All dimensions here describe the impression. Confirmed rectangular Imprint sizes also include 38 × 14mm and 48 × 18mm. Choose a square for a square mark, a circle for a circular design and a rectangle for a wider layout when they fit your artwork. The number of text lines and characters varies with the product, font and design.

Start with the element customers need to recognise first. For a text-and-logo stamp, keep contact details separate from fine logo detail and leave space between elements. Reduce a complex logo to a clear single-colour version where necessary; gradients and photographic shading may need simplifying.

Choose stamp wording for the task rather than treating a rubber stamp as a compliance certificate. For a limited company, GOV.UK signs and stationery guidance sets out disclosures required on company documents, with additional details for business letters, order forms and websites. Check the complete document against the applicable official guidance; there is no universal information checklist for every rubber stamp.

4. Check the artwork and request help

Where the selected product offers artwork upload, use SVG, PNG or JPG/JPEG in the online personaliser. PDF upload is not currently supported in the online personaliser. If you only have a PDF, contact us before ordering. Check the complete design at the intended impression size. Fine text and crowded detail may need simplifying. There is no single character, font-size, stroke or DPI rule that suits every design.

You see a visual inside the personaliser. A separate manual proof is available on request. Check spelling, numbers, alignment and the complete layout before ordering. Read our artwork upload guide if you need help preparing your file.

Standard self-inking logo and text stamps are intended for suitable absorbent paper and uncoated matt card. Glossy or coated surfaces may prevent the ink absorbing and can smudge. Ask before ordering for fabric, wood, plastic or specialist packaging: the ink and stamp must suit the material. A printed artwork mock-up helps assess size and layout, but does not test actual ink performance.

Frequently asked questions

What information should I include?

Use the wording needed for your particular task. A branding stamp does not always need an address or registration number. Check disclosure requirements for the complete document where relevant.

Which shape should I choose?

Match the shape to your logo and layout. The linked square, round and rectangular examples show different impression areas; none is the default for every business.

How do I check the design?

Check the personaliser visual, spelling and detail at the intended impression size. A separate manual proof is available on request.

Does a printed mock-up test ink performance?

No. It helps assess layout and size. Ink performance depends on the actual stamp, ink and surface; ask for advice before ordering for specialist materials.
