7 Essential Types of Business Stamps for Every Workplace

Business stamps can repeat a logo, address or short instruction on suitable paper and card. Choose the type around the task, rather than assuming every workplace needs the same set. These seven categories explain what to check before ordering.

In this guide

1. Company logo stamps

Use a logo stamp for paper labels, uncoated tags, envelopes and matt card inserts. Choose the shape around the artwork: compare 25 × 25mm square logo stamp, 42mm round Trodat 4642 logo stamp and 58 × 22mm Imprint 13 logo stamp. Review fine detail at the intended impression size.

2. Address stamps

A return-address stamp repeats the sender’s address on envelopes or suitable labels. Check the spelling and postcode carefully; the stamp repeats any error in its design. Rectangular Imprint examples are 38 × 14mm, 48 × 18mm and 58 × 22mm. Add a logo only if the resulting text remains readable; browse text and logo stamps.

3. Date stamps

Choose an adjustable date model if you need to change the date. A fixed text stamp that prints a date does not automatically advance it. Check the model’s available date range, impression area and any custom text fields. A date mark records the value selected by the user; it is not independent evidence of when an event occurred.

4. Signature stamps

A signature stamp reproduces a supplied signature image. Control access and use it only where the relevant organisation or recipient permits it. It does not prevent copying or forgery and should not be assumed acceptable for every document. Confirm the required approval process before using one.

5. Paid and received stamps

These can provide a visible workflow mark on invoices or incoming documents. Match the wording to your process and mark an invoice only after checking the underlying record. A “Paid” impression alone does not prove settlement, prevent duplicate payments or replace accounting records.

6. Custom message stamps

Repeat short wording such as “Copy enclosed”, “For review” or a department name. Keep the wording concise and choose a text stamp with enough impression area. Check whether you need fixed wording or an adjustable element before ordering.

A wording stamp can repeat fields used by an authorised professional, but the stamp does not perform the verification or give its user authority. Confirm the wording and procedure required by the document’s recipient or relevant professional body. Buying a stamp does not certify a copy or establish compliance.

Choose stamp wording for the task rather than treating a rubber stamp as a compliance certificate. For a limited company, GOV.UK signs and stationery guidance sets out disclosures required on company documents, with additional details for business letters, order forms and websites. Check the complete document against the applicable official guidance; there is no universal information checklist for every rubber stamp.

Check the mechanism, artwork and surface

A self-inking stamp has an internal pad; a traditional hand stamp needs a separate pad. The mechanism alone does not determine suitability for a surface.

Where the selected product offers artwork upload, use SVG, PNG or JPG/JPEG in the online personaliser. PDF upload is not currently supported in the online personaliser. If you only have a PDF, contact us before ordering. Check the complete design at the intended impression size. Fine text and crowded detail may need simplifying. There is no single character, font-size, stroke or DPI rule that suits every design.

You see a visual inside the personaliser. A separate manual proof is available on request. Check spelling, numbers, alignment and the complete layout before ordering. Read our artwork upload guide if you need help preparing your file.

Standard self-inking logo and text stamps are intended for suitable absorbent paper and uncoated matt card. Glossy or coated surfaces may prevent the ink absorbing and can smudge. Ask before ordering for fabric, wood, plastic or specialist packaging: the ink and stamp must suit the material. A printed artwork mock-up helps assess size and layout, but does not test actual ink performance.

Frequently asked questions

Which stamp should I buy first?

Start with the repeated task and the impression space available. For a logo, use the logo stamp buying guide. For mixed wording and artwork, compare text and logo stamps.

Will I receive a separate proof?

You see a visual inside the personaliser. A separate manual proof is available on request.

Does a company logo stamp authenticate a document?

It prints the supplied mark. Do not treat a logo impression as independent verification of a document or its signatory.
