How to Choose the Right Rubber Stamp for Your Business

How to Choose the Right Rubber Stamp for Your Business

Choose a business stamp by its purpose, impression size and the material you will mark. Start with the exact wording or artwork, then compare the mechanism and options. A stamp for a fixed office message may need a different layout from a logo with contact details or a changing date.

1. Define the task

Task Start here What to check
Return address personalised text stamps Complete address, spelling and postcode.
Logo branding logo stamp buying guide Logo proportions and readable detail.
Changing dates stock date stamps Date range, fixed wording and adjustable element.
Loyalty cards loyalty card stamps Card box size and ink-compatible stock.
Certification wording legal wording stamps Recipient’s wording and authorised verification procedure.

A wording stamp repeats the supplied text; it does not perform document verification or grant its user authority. A “Paid” or loyalty-card mark also does not replace the underlying record or staff controls.

2. Choose the mechanism

A self-inking stamp has an internal pad, a traditional hand stamp uses a separate pad, and a pre-inked stamp uses its own ink-holding system. Check the specific model’s refill and care guidance. Do not assume pre-inked stamps always give a sharper result or that every mechanism lasts a fixed number of impressions.

For hand stamps, compare traditional hand stamps. For combined wording and artwork, use text and logo stamps.

3. Compare actual impression sizes

Product Impression size Layout to consider
4933 square logo stamp 25 × 25mm Compact square logo.
Imprint 13 text and logo stamp 58 × 22mm Horizontal text-and-logo layout.
Trodat 5208 logo stamp 68 × 47mm Larger logo layout requiring more space.

The dimensions describe the printed impression. Other confirmed Imprint rectangles include 38 × 14mm and 48 × 18mm. Text capacity depends on the model, font and complete design; a product’s line count does not guarantee that every text-and-logo combination will fit.

4. Check the ink and surface

Standard self-inking logo and text stamps are intended for suitable absorbent paper and uncoated matt card. Glossy or coated materials may prevent ink absorbing and may smudge. Ask before ordering for fabric, wood, plastic or other specialist materials. A different handle or mechanism does not by itself make ordinary ink suitable for every surface.

Choose from the ink options actually listed for the product. A colour is not a universal compliance rule or an exact match to every brand’s print specification. Check any recipient-specific colour requirement before ordering. For replacements, use the exact supplied model rather than selecting only by colour; browse replacement ink pads.

5. Review the artwork, package and deadline

Where the selected product offers artwork upload, use SVG, PNG or JPG/JPEG in the online personaliser. PDF upload is not currently supported in the online personaliser. If you only have a PDF, contact us before ordering. Use the clearest original available and check the design at its intended impression size. SVG can include embedded images, so the extension alone does not establish quality. PNG and JPG are raster images. Fine lettering or crowded detail may need simplifying.

You see a visual inside the personaliser. A separate manual proof is available on request. Check spelling, numbers, layout and product options before ordering. Read the artwork upload guide for preparation advice; no single character, font-size, stroke or DPI threshold suits every stamp.

Check the selected package and displayed price, including whether extra pads are included. A self-inking stamp’s added pads are replacements. Do not treat a carrier’s next-day transit service as a guarantee that a personalised order is despatched immediately.

For advice, call 01695 769113 or email our team with the intended material, impression area and any deadline. We aim to despatch orders placed before midday (12pm) on the same day, but this is an aim rather than a guarantee; stock may need ordering in for the next day. Carrier transit time is separate.

Free tracked UK delivery is available on orders over £39.99. Tracking is added to the order on despatch. Remote UK zones B, C and D use Royal Mail Tracked 48. See the delivery policy for rates and restrictions. Missing orders and errors receive free-of-charge replacements.
